Office Administrator

Full-time position

The MDAA is currently looking for an experienced Office Administrator. This position will play an integral role in the customer service and organizational strength of our Association. The Manitoba Dental Assistant’s Association advocates for more than a 1300 plus membership of licensed Dental Assistants in the Province of Manitoba. The association is guided by a volunteer board of directors who in turn are responsible to act within the bylaws and Terms of Reference of the MDAA. The qualified candidate will have impeccable verbal and written communication skills, a strong ability to multi-task and a friendly demeanour.

The responsibility of the Office Administrator is to support the MDAA Board of Directors and the membership of the MDAA in achieving the goals of the Association as defined by the elected Board of Directors. The Office Administrator is accountable to the MDAA Board of Directors and supervised by the MDAA President. The objective of this role is to facilitate a cohesive and respectful work environment through engaging and having clear communication with the MDAA Board of Directors and its membership. The candidate will also maintain a good working relationship with the MDA (Manitoba Dental Association), the CDAA (Canadian Dental Assistants Association) and the CDA (Canadian Dental Association). The Office Administrator will work collaboratively with the Board of Directors but must also be goal oriented, self-driven and able to work with minimal supervision to achieve the objectives of the MDAA.

Role and Responsibilities:

  • Build relationships, maintain confidentiality and impartiality with all members of the Board of Directors and the MDAA membership
  • Actively works as an advocate for the MDAA in fundraising and lobbying sponsorship for the association
  • General office duties including but not limited to maintaining office supplies, keeping confidential organized files/records and administrative duties which contribute to the success of the MDAA
  • Prepare, processes all registration fees and create and update accurate confidential records for all new and existing members of the MDAA
  • Manage and respond to all incoming communication in a timely manner on behalf of the MDAA
  • Provide daily updates to the President of the Board on all correspondence including email, phone calls, letters from the MDAA members, the MDAA board, MDA, CDAA and CDA representatives as well as a weekly summary of office business of the past week and plan for the following week
  • Manage all MDAA membership registration, fees, and mailouts
  • Coordinate and organize MDAA board meetings, continuing education seminars and the Annual General meeting
  • Records minutes at meetings he/she is in attendance and distributes to the Board of Directors as well as maintains copies for record keeping as required
  • Maintain files on behalf of board members as required
  • Be the point of contact for the Board of Directors, the MDAA, MDA, CDAA and CDA as well as any external organizations, associations, businesses or government agencies
  • Arrange travel and hotel accommodations for board members attending conferences or meetings requiring MDDA representation
  • Update the MDAA website with information to support the membership
  • Assists with the development and maintaining the annual budget for the MDAA
  • Actively work as an advocate on behalf of the MDAA on membership discounts and provide the membership with information on current benefits available to them


  • Post-secondary education in business administration or relevant experience
  • Previous experience working in a professional office environment
  • Excellent communication skills both verbal and written
  • A class 5 driver’s license and own reliable vehicle to conduct business on behalf of the MDAA
  • Must be flexible to work evenings and/or weekends when required
  • Public speaking is an asset as may be required from time to time
  • An understanding of the MDAA bylaws and Terms of Reference
  • And understanding of the MDAA membership requirement
  • A working knowledge of the Provincial Dental Assisting Licensing Criteria
  • Computer skills including but not limited to a good knowledge of Windows based programs and web based programs
  • Excellent organizational skills
